*No punctuations for initials
*Do NOT correct the spelling shown on the label of the folder.
*If "n.d." is indicated for date, leave date field blank. Under "Notes" type "No date."
*Do NOT add names, dates, or other information found within a folder.  
*If there is no date at all identified, leave field blank. Under "Notes" type "No date."
*Multiple folders for one individual (i.e., Folder 1, Folder 2, etc.) should be combined into one Consolidated Form. However, do NOT combine folders unless the labels indicate all folders are for the same person. (No guessing).
*If there is a title to the name (ie/ Mrs. or Dr.), enter under given name "Jane (Mrs)" or "Joseph (Dr)"
*Check the last page of the last folder to see if the folder was refilmed. If so, type "Folder refilmed on next microfilm" in the Notes field (without quotation marks) and include this page in the last Consolidated Form rather than with the Administrative pages.  
*If there is a suffix to the name (ie/ Jr. or Sr.), enter under the given name "John (Jr)" or "William (Sr)"
*When finished, check for highlighted entries that denote waypointing errors (i.e., overlapping files).  
*If there are two given names indicated with the same surname, enter "Joseph & Jane" for the given name, and "Smith" for the surname
*Some folders included in the collection are empty but list soundex research aides (ex. An empty folder that might have "Smith. See also Smythe" written on it). When you come across one of these folders please mark it as an Administrative image.
*If there are two given names indicated with different surnames, enter the first name as usual, and in the "Notes" field enter "see Joseph Smith"
*When there are two spelling variations for a name, only one given and one surname should be entered. Under the AKA field, additional variations should be noted separated by commas, if necessary. Ie."Sarah (Sallie) Jones" : enter "Sarah" in the Given name field, "Jones" in the Surname field, and "Sallie Jones" in the AKA field. Another example: "John Smithwyck (Smithwick, Smithwich" should be entered as follows: enter "John" in the Given name field, "Smithwyck" in the Given name field, and "John Smithwick, John Smithwich" in the AKA field.  
*If there is a digit missing for the probate date (ie/ 187- ) enter the date as "1870s."
*If the file is noted "Miscellaneous" or "Unnamed Decedent" enter exactly as written on the folder tab in the "Surname" field.
