Video Instructions
Task List
- NOTE: There are two tabs: International Links or US Links. You can pick whichever tab you would like to work on.
Instructions
Note: This spreadsheet is linked to another spreadsheet that we use to add information and columns H to N are protected. You will only be able to add text or color to columns A, B, and O.
Part A - Online Genealogy Records
Step One - Sign Up on Task List
There are new collections that need to be added to pages on the Wiki.
1. Sign up for a collection under either the International Links or US links tab on the Task List.
2. Open a tab to the Wiki
Step Two - Review Collection
1. Go back to the spreadsheet and review the information in Column H, Needs to go on OGR. This column is for links going on the Online Genealogy Records page for the locality.
2. If there are instructions in the cell listing a page to add this collection to, copy the link found in Column F.
If there is no text in the cell or says "no", go to Part B below
3. Go back to Column H and note the name of the Online Genealogy Records Wiki page and header the link will go under.
4. Go to the Wiki page and click Edit source on the page and find the header.
Step Three - Paste the Collection
1. Review any collections already under the header to see if it is already there.
2. If it is not already on the page, add the link under the appropriate header on the OGR in chronological order.
Exceptions:
- If the link is already on the page, replace it with this new link to make it match the new manual of style. Do not worry about other entries on the page that are not in accordance with the manual of style.
- If there are no other entries with dates, put this as the first bullet.
Step Four - Check the Collection for Index & Images
1. Now copy the url for the collection and paste it in a new tab in the browser.
2. Use instructions below, How to Determine if Different Collections Have Indexes or Images to see if the collection is just an index or includes index & images.
3. Make any adjustments to the link from what you learned.
Step Five - Add to More OGRs?
1. Sometimes a collection needs to go on more than one Online Genealogy Records page. Go back to the spreadsheet and check the cell to see if there are any other OGR Wiki pages to add the collection to and repeat the instructions above.
Step Six - Review and Save the Page
1. Preview the page to see if the link works.
2. If the link works on the page, copy and paste the following into the Summary
Added new collection link - project
3. Save the page.
Part B
Step One - Copy the Link in Column E
1. Return to the spreadsheet and look to see if there are instructions in Column I, Topic Page and note the Wiki page and header the link needs to go under.
2. Go to Column E, Collection Link Code and copy the link.
3. Go to the Wiki page and click Edit source on the page and find the header using Ctrl+F.
Step Two - Paste the Collection
1. Review the collections under the header to see if it is already there.
2. If the collection is not already under the header, paste the link under the appropriate header on the Wiki page in chronological order.
Exceptions:
- If the link is already on the page, replace it with this new link to make it match the new manual of style. Do not worry about other entries on the page that are not in accordance with the manual of style.
- If there are no other entries with dates, put this as the first bullet.
NOTE: Every Wiki page and header will be different. Add the collection link where you think is best under the header. Whether adding it to a list of collections chronologically or adding it directly under the Header and the intro (if US). Trust your gut on this. You can make a note on the spreadsheet if you would like us to review the location of the collection.
Step Three - Index & Image?
1. If you added the collection to an OGR page, you should have already determined if the collection is index or index & images. Adjust the link accordingly.
2. If you did not add an OGR link, you will need to use the instructions below, How to Determine if Different Collections Have Indexes or Images to see if the collection is just an index or an index & images.
3. After you classified the collection, adjust the link as necessary. Such as, removing "& images."
Step Four - Check Spreadsheet for More Wiki Pages
1. Return to the spreadsheet and check the next column to the right, Column J, Topic Page.
2. If there are instructions to add it to another Wiki page, use the instructions above to do so.
3. Repeat this for each column that has a Wiki page and header listed, Columns K, L, M, etc.
4. If there are no more Wiki pages to add the collection to, go to the next step below.
Step Five - Review and Save the Page
1. Preview the page to see if the link works.
2. If the link works on the page, copy and paste the following into the Summary
Added new collection link - project
3. Save the page.
Step Six - Mark the Task List
1. After you finish adding a collection, return to the Task List and put the date it was completed.
"Also At Link" Column G
1. There is a column G, Also at Link, that can be used when you notice the collection you are adding is the exact same collection already on the Wiki page provided by a different website. Add the link at the end of the database link. If you are unsure if it is the exact same link, you can add the link in Column G, Also at Link to the Wiki page and make a note in Column O and make the cells in Columns A & B yellow. We will double check them.
Incorrect Coding in the Link Provided
1. The code for the database link is automatically generated, but sometimes the code created isn't correct. When adding the link to the Wiki page, feel free to alter the code to make the link work correctly and make sense to the user. You are our quality control.
Not Enough Instructions
1. If you get to an entry on the spreadsheet and it doesn't have enough instructions for you to determine where the link should go, highlight the cells in Columns A & B in yellow and make a note in Column O, Missionary notes. We sometimes miss things.
Suggestions for More Wiki Pages
1. Please note that many country or statewide collections will be added to lower jurisdiction pages at another time. We analyze each collection to see if it should be made into a project when we add it to this sheet.
2. We sometimes review these quickly and don't think of all the possible Wiki pages to put a collection on at the time. If at any time you think we forgot to suggest another Wiki page (another topic page or OGR), please complete what was listed on the spreadsheet and mark the cells in Columns A & B in yellow. Then, leave a note with the suggested Wiki page in Column O, Missionary Note. We will review it and add it accordingly.
Missing Pages or Headers
1. If the directions tell you to add it to a page that doesn't exist, highlight the cells in columns A & B in yellow and add a note in Column O, Missionary Notes. We will create the page later and add it ourselves.
2. If the directions tell you to add a collection to a header that does not exist on the page, you can add the header yourself. If you prefer not to, highlight cells in columns A & B in yellow and add a note in Column O, Missionary Notes. We will do it for you.
3. For Topic pages that do not have "Online Resources" at the top of the Wiki page, please add the following wikitext code:
==Online Resources==
4. If you add the Online Resources header to a topic page and there are online resources farther down on the page, please make a note in Column O. In a later project we will restructure the pages and bring them to the top of the Wiki page with the collection you just added.
Marking Completed Entries
1. To help in finding collections that need to still be completed on the spreadsheet, when you finish adding a collection, mark column A & B (Name and Date) column a color in addition to adding the date to column B. You can pick any color except yellow to indicate the collection has been added.
How to Determine if Different Collections Have Indexes or Images
- The collection links have been autogenerated to be in the correct format to match the manual of style. The computer is not able to tell if a collection has an index or images, so we will need to check those as we go along and adjust the code accordingly once it is on the page. It automatically says "Index & Images" on all the links.
American Ancestors
- American Ancestors has icons at the top of their collection landing page that indicates if the collection is index only.
- This is what an index only collection looks like. Besides the title saying it is an index, there is also a paper icon to the left of the title indicating it is an index only collection.
- This is what an index and images collection looks like. Notice on the right of the title it has a camera icon.
Ancestry
- Ancestry usually says in the title of their collections if it is an index. Their landing page will usually tell you if the collection is an index, images, or both.
- This is what an index only collection looks like. Notice the title says index and there is no place to browse images on the right hand side.
- This is what an index and images collection looks like. Notice on the right it has a place to browse the images.
Findmypast
- Findmypast usually does not say outright if their collection includes images. You will need to search with a common last name like, "Smith" and see if there are images in the collection.
- Search a common last name in the search space
- The file icon on the left means it has an index and the image icon on the right means that it has images. Collections may have just the index and will only show the file icon in those instances.
MyHeritage
- MyHeritage usually does not say outright if their collection includes images. You will need to search with a common last name like, "Smith" and see if there are images in the collection.
- If you search and click "View Record" and a set of images shows, the collection is Index & Images.
- If you search and click "View Record" and a stock photo shows, the collection is just Index.
